For schools

Registering your school, and getting your records in

Registration is a single form in three steps and needs no login. Most delays come from missing documents, so prepare the list below before you begin.

What to have ready

Gather these first. The form can be completed in one sitting once the documents are scanned.

School details

  • School name and official registration number
  • School type (nursery, primary, secondary, combined, vocational, special needs)
  • Official email address and phone number
  • Physical address and region
  • Curricula offered — the first selected becomes the primary curriculum

Documents to upload

  • Registration certificate — required
  • Ownership document — required
  • Accreditation document — optional
  • Governance document — optional
  • School logo — optional

PDF, JPG, PNG or WEBP only. Maximum 10 MB per file.

Three steps on one page

  1. 01

    Load your school from NECTA

Enter your NECTA registration number and select Load school. If your profile is found, the form fills itself in. If lookup is unavailable, continue and enter the details manually. If the number is already registered, do not register again — use Forgot password on the sign-in page or contact the administrator.

  2. 02

    Complete the school profile

Confirm the required fields, add optional details such as website, Cambridge centre number, IB school code, established year, motto, vision and mission, then upload the required documents. Files must be PDF, JPG, PNG or WEBP, and no larger than 10 MB each.

  3. 03

Name the primary contact and submit

The primary contact owns the school's first account: full name, role, email and phone are required. The role you enter determines the account created — head teacher, registrar or teacher. Review the summary, then submit for approval.

What happens next

The school is saved as Under review

An account is created for the primary contact with status Pending verification, and a temporary password is emailed to that address.

Sign-in stays closed until approval

Attempting to sign in before approval returns a notice that the account is awaiting approval. This is expected — wait for the approval email.

Approval activates the school

Once an administrator approves, the school becomes Active, the primary contact's account becomes Active, and an approval email is sent. Change the temporary password at first sign-in.

Two ways to enrol students

Only registrar, head teacher and super administrator accounts can add or edit students.

Option A

One student at a time

First name, last name and school are required. Everything else — date of birth, nationality, admission number, NECTA candidate number, curriculum, class, previous school and up to two guardians — can be recorded on the same form.

Option B

Bulk upload from Excel

Download the official template, fill one class per file, then upload. Accepted formats are .xlsx, .xls, .xlsm and .xlsb, up to 15 MB. If a row is wrong, the upload stops and lists the exact rows and fields to correct — nothing is saved until every row passes.

The template carries an Instructions sheet alongside the data sheet. Do not rename, reorder or delete the column headings, and delete the sample rows before uploading. The class named at the top of the sheet is created automatically if it does not yet exist.

Adding colleagues once you are approved

Signed in as head teacher or registrar, you can create further accounts for your school from the school's user list. Provide a name, email, optional phone and a role — head teacher, registrar or teacher. Each new user receives their own temporary password by email and should change it at first sign-in. If a password is lost, use Forgot password on the sign-in page.
